Privacy Policy

Effective Date: July 18, 2026

This Privacy Policy explains how the SolsticeIO Telegram Bot ("we," "us," or "our") handles and protects your data. We believe in transparency and data minimization. Below is an exact accounting of every piece of data stored to provide our features.

1. Data We Collect and Store

To operate music streaming, moderation, playlists, and group utilities, SolsticeIO stores specific identifiers and settings in a secured MongoDB database. We never listen to, record, log, or persist the audio of your voice chats, nor do we store general chat message histories.

A. Telegram Identifiers

  • User IDs: Stored when you interact with the bot in private (users), are designated a DJ (dj_users), added as a global staff member (staff), or blocked for abuse (banned_users).
  • Group Member Records (chat_members): Group member names and user IDs are saved temporarily to power social commands (such as /couples).

B. Group Settings & Configuration (chat_settings, welcome_settings)

Linked strictly to group Chat IDs to preserve your group's preferences:

  • Playback Rules: play_mode (whether everyone or only admins can queue tracks), autoplay toggle, and vote_skip_threshold (number of votes needed to skip a track).
  • Display & Language: Chosen localization language (language) and Now Playing photo cards toggle (play_cards).
  • Welcome Messages: Whether new member greeting messages are enabled (welcome_settings).

C. Moderation Data (warns, warn_settings)

  • Warnings (warns): Stores the target User ID, Chat ID, current warning count, and infraction text reasons issued by admins.
  • Warn Actions (warn_settings): The configured limit (e.g. 3 warnings) and automated penalty mode (ban, mute, or kick).

D. User-Generated Features (playlists, afk_users, whispers)

  • Personal Playlists (playlists): When you create custom playlists, we store your User ID, playlist name, visibility preference (public or private), and the list of saved tracks (title, stream URL, thumbnail, duration).
  • AFK Statuses (afk_users): Stores your User ID, custom away reason, and the timestamp you set it. Automatically cleared when you speak again in chat.
  • Inline Whispers (whispers): Stored temporarily to enable secret messages between two specific users. Whispers are deleted immediately when opened (if marked one-time) and are automatically scrubbed from the database by a 30-day MongoDB TTL index.

E. System & Diagnostic Telemetry

  • Aggregated Counts: Anonymized platform metrics (total served chats and users) displayed in /stats.
  • Host Telemetry: Server statistics (CPU load, memory allocation, disk space, ping latency) represent our own hosting infrastructure, never your personal device.
  • Operational Logs: Temporary runtime logs (fatal stack traces, streaming pipeline failures, Telegram API rate limits) are logged locally for troubleshooting.

2. How Your Data Is Used

Stored data is used strictly for technical bot operations:

  • Providing voice chat music playback and syncing queue state with the Web Room.
  • Enforcing admin permissions, DJ privileges, and warn limits.
  • Remembering language preferences, welcome greetings, and custom playlists.
  • Preventing spam and abuse through blocked user checks.

3. Third-Party Services

To stream content and provide utilities, the bot interacts with external APIs:

  • YouTube & Spotify: Resolves search queries and streaming URLs. Only video IDs or search queries are transmitted; your personal Telegram account information is never shared with streaming providers.
  • Smallest.ai & Google Translate: Powers /tts text-to-speech audio rendering.
  • Nekos.best: Fetches public anime GIF animations for interactive reaction commands.

Each external service operates under its respective privacy terms.

4. Data Retention & Deletion Rights

You have complete control over your data:

  • Automatic Expiration: Whispers automatically purge after 30 days. Autoplay toggles reset after 6 hours of inactivity.
  • Group Removal: When SolsticeIO is removed from a group, group-level operations cease immediately.
  • Data Deletion Requests: You can request the manual deletion of your User ID, playlists, AFK records, or warnings at any time by contacting the maintainer.
